Planning the stay


Spending one semester abroad takes long-term and partly work-intensive planning, with the major share done by the student. You should start the planning about one year before the semester abroad.
The following steps are particularly relevant for students wanting to study at a partner university.

Step-by-step guide to your semester abroad

Going abroad for one semester requires long-term and partly work-intensive planning, of which most is done independently by the students. Planning should be started about one year before the intended semester abroad. The following steps are directed primarily towards students who want to study at a partner university.

  1. It is advisable to first gather information on the faculty's partner universities. You can also have a look  at the partner universities of the other THWS faculties because it might be possible to complete a semester abroad with them.

  2. Choose one or two partner universities by taking into account the country, your knowledge of the national language and the language of instructions at the partner university.

  3. Gather information on the semester schedule. When do lectures start? When is the examination period? Compare these dates to your THWS study plan.

  4. Look at the partner university's websites for the lectures offered during your intended semester. Please note that no lectures can be accredited that have already been completed in a module at THWS. This means that you cannot be accredited a fundamental module on databases if you have already successfully completed the module with us.

  5. Find at least three to four lectures that could be offered at our faculty content-wise, i.e. the contents must be related to your degree programme. In case of doubt, do not hesitate to contact your lecturer or the international affairs officer in due time.

During each step, the international affairs officer is there to answer your questions.

After checking off the points on planning your semester abroad, it is the right time to talk to the international affairs officer.

Selection criteria: The study places at the partner universities are assigned by the following criteria. These criteria is also used for Erasmus+ funding:

Academic performance: Proven by submitting certificates or transcript etc.
Linguistic aptitude: Proven by a certificate stating the required language level
Personal motivation: Proven in an application interview or a letter of motivation

You will then receive the international affairs officer's signature required for the declaration of acceptance. Please already fill in this declaration beforehand as completely as possible and submit it with the international affairs officer for signature.

As soon as the academic part is settled, we will re-direct you to the colleagues of the International Office (HSIN). For this, you must register in the MoveOn portal upon receipt of the signed declaration of acceptance. The Department of Student Affairs will then nominate you with the partner university, that is if your data and documents are complete.

Erasmus+ funding:
With the Department of Student Affairs you can also apply for Erasmus+ funding. The following differentiation applies:

  • Student mobility with programme countries: The Erasmus+ programme countries include the member states of the European Union and some other countries (e.g. Norway). Funding for studies in a programme country is available if
    • the faculty-internal application was successful (the selection criteria and processes are listed above)
    • the requirements of the chosen programme are fulfilled and
    • sufficient funding is available.
  • Student mobility with partner countries (Non-EU): Erasmus+ funding is also available for studies in selected partner countries. Funding for studies in a programme country is available if
    • the faculty-internal application was successful (the selection criteria and processes are listed above)
    • te requirements of the chosen programme are fulfilled and
    • sufficient funding is available.
    • Additional funding requirements for student mobility with partner countries (Non-EU): Students must apply for Erasmus+ non-EU funding with the Department for Student Affairs.  The application steps and selection criteria for funding can be found here.

Information on Erasmus+ and other financing options can be found on the website of the International Office. Please also consider the information of the German Academic Exchange Service regarding scholarships and financing.

Deadlines

Winter semester

If you are planning to go abroad in the upcoming winter semester, the following deadlines are important for you:

  • On 01.12. (of the year prior to the stay abroad), the international affairs officer announces opportunities to go abroad and notices students about the imminent informative event.
  • By 24.01. (of the year of the stay abroad), you contact the international affairs officer and send them the completed and signed declaration of acceptance via e-mail.
  • By 31.01., you submit your application via the portal MoveOn. There, you upload your declaration of acceptance as a PDF document.

Summer semester

If you are planning to go abroad in the upcoming summer semester, the following deadlines are important for you:

  • On 15.05. (of the year prior to the stay abroad), the international affairs officer announces opportunities to go abroad and notices students about the imminent informative event.
  • By 24.06. (of the year prior to the stay abroad), you contact the international affairs officer and send them the completed and signed declaration of acceptance via e-mail.
  • By 30.06. (of the year prior to the stay abroad), you submit your application via the portal MoveOn. There, you upload your declaration of acceptance as a PDF document.
